The short version
The Recall Vault stores the products you tell it about — brand, model, serial or batch numbers, receipts and photos — so it can track warranties and match your items against product safety recalls. We don't sell your data. We don't run analytics trackers, and the only advertising tool we use is Google Ads conversion tracking, which only loads if you accept it in the cookie banner. A handful of specialist providers process data on our behalf to make the service work — they're listed below.
What we collect
- Account details: your email address and a hashed password (we never store your password itself).
- Items you add: brand, model, serial number, batch/lot code, category, retailer, purchase price and date, warranty length, and — for items with an expiry rather than a warranty (e.g. medicine) — the printed expiry date.
- Documents and photos: receipts, rating-plate photos, and other files you upload or forward, so you can retrieve them later or use them for an insurance claim.
- AI-extracted data: when you paste a receipt or upload a photo, we keep a copy of what our extraction step returned, so we can show you exactly what was read from the document and let you correct it.
- Chat questions: if you ask Felix (our AI assistant) a question, we store the conversation so it can be shown again when you reopen it.
- Billing information: if you subscribe, our payment processor (Stripe) handles your card details directly — we only see a customer/subscription reference, never your full card number.
- Approximate location: we use your connection's country (not a precise location) to show pricing in your local currency. We don't store this — it's used only to answer that one request.
- Household invites: if you're on Premium and invite someone to share your vault, we store their email address to send the invite and track whether they've accepted it.
- Contact form messages: if you use the contact form on our homepage, we collect your name, email address and message so we can reply — this applies whether or not you have an account.
Why we use it
To provide the service you've signed up for: keeping a record of what you own, reminding you before warranties expire, checking your items against product recall notices once that feature is live, and answering your questions about your own vault. We don't use your data to build advertising profiles, and we don't share it with data brokers.
Household sharing
On Premium, you can invite one other person to share full access to your vault — items, documents, receipts and chat history included. This is designed primarily for emergency access, so someone you trust can reach your records if something happens to you. Either of you can end the sharing at any time from Account settings, and it stops automatically if the Premium subscription lapses. Nobody outside a person you've explicitly invited can see your vault.
Who we share it with
We use the following providers to run the service. Each only receives the data it needs to do its job, and none of them are permitted to use it for their own purposes.
- Neon — hosts our database (your account and item records).
- Cloudflare (R2) — stores the receipts, photos and documents you upload.
- Vercel — hosts the application itself.
- Anthropic — processes receipt/photo text and images to extract product details, and powers the Felix chat assistant. Anthropic receives the text/images you submit and, for chat, the relevant contents of your vault needed to answer your question.
- Stripe — processes subscription payments.
- Mailgun — sends account emails, such as the link used to verify your email address, the one-off upgrade email described below, and relays messages submitted through our contact form.
We do not sell your personal data, and we do not share it for third-party advertising or marketing purposes.
Emails about upgrading
If you are on the free plan, have verified your email address and have added at least one item to your vault, we send you one email, about 30 days after you verified, suggesting you look at our paid plans. We send it once.
The email has a link to unsubscribe. If you unsubscribe, we won't send you that email or any similar one. Unsubscribing doesn't affect emails about your account, such as warranty reminders.
To do this we store two dates against your account: when we sent you the email, and when you unsubscribed, if you did. They are deleted with your account and included in your data export.
Cookies
We use one strictly-necessary cookie to keep you signed in — that one is always on. If you accept in the cookie banner shown on this site, we also load Google Ads conversion tracking, which helps us understand how people find this site. We don't use any other analytics or advertising cookies. If you reject, or don't make a choice, none of that loads.
How long we keep it
We keep your account and item data for as long as your account is active. If you ask us to delete your account, we delete your records and the documents you've uploaded, rather than keeping them indefinitely.
Items that have an expiry date, such as a warranty, insurance cover, a medicine use-by date or a passport, are moved to Trash automatically 60 days after that date, and permanently deleted along with their attached documents 30 days after that. Items in the Child and Vehicle categories are not removed automatically. See our Terms of Service for details.
Your rights
You can delete any item or document directly in your vault at any time. From Account settings you can also download a full export of your data, or permanently delete your account and everything in it. For anything else — correcting data, or a question about how it's handled — email us at contact@therecallvault.com and we'll action it.
